Warranty & Return Policy

This policy applies to all bear spray products manufactured and shipped from SOHAPI's facility. It covers manufacturing defects, return procedures, transit damage claims, and how to reach us for support.

Section 1

Product Warranty

SOHAPI warrants that all bear spray products manufactured and shipped from our facility are free from defects in materials and workmanship at the time of delivery. This warranty covers manufacturing defects — including valve crimping failures, fill weight non-conformance, and label compliance issues — identified upon receipt or within the warranty period.

Warranty Period

12 months from the date of shipment, provided products are stored under the conditions specified in the accompanying product documentation — including temperature range, upright orientation, and storage away from direct heat sources.

This warranty applies to products in their original, unopened condition.

What This Warranty Does Not Cover

Damage resulting from improper storage, handling, or transport after delivery

Products that have been discharged, tampered with, or modified

Normal pressure loss in canisters stored beyond the recommended shelf life

Damage caused by conditions outside our control — extreme heat exposure, physical impact during downstream distribution

What We Cover and How We Handle It

We run 100% water bath leak testing on every canister post-crimp before it leaves this facility. If a defect reaches your warehouse, it means something passed our inspection that shouldn't have — and we take that seriously.

Replace

Defective units replaced in your next production run or as a standalone replacement shipment.

Issue a Credit

Credit applied against a future order for the value of the defective units.

Partial Refund

Provided where replacement or credit is not a practical resolution for the situation.

For confirmed manufacturing defects, SOHAPI will apply one of the above resolutions at our discretion based on the nature and scope of the issue.

Return Freight Coverage

When we cover the cost of returning defective units

We do not cover return freight costs for defective units unless the defect rate in a shipment exceeds 2% of the total lot quantity. At that threshold, the issue is systemic rather than incidental, and we treat it accordingly.

In practice, our outgoing inspection process catches batch-level problems before they ship. A 2%+ defect rate in a delivered lot has not occurred in our recent production history — but the policy exists because it should.

Return Procedure

Returns require prior authorization. Do not ship product back without contacting us first — unauthorized returns cannot be processed and will be held at the receiving facility.

How to Initiate a Return

    Contact our sales team at sales@kumataisaku.jp or via WhatsApp at 050-5526-2688 within 30 days of identifying the defect.

    Provide your order number, a description of the defect, and photographic documentation where possible.

    We will review the claim and respond within 5 business days with either an RMA number and return instructions, or a request for additional information.

    Authorized returns must be shipped in original packaging or equivalent protective packaging to prevent transit damage.

Aerosol Dangerous Goods Notice

Aerosol products are regulated cargo under international dangerous goods classifications. Return shipments must comply with applicable transport regulations (IATA, IMDG, or ADR depending on the shipping mode). We will provide guidance on documentation requirements when issuing the RMA.

Claims for Shortage or Damage in Transit

Inspect all shipments upon receipt. Claims for visible transit damage or quantity shortage must be submitted within 7 days of delivery.

Required Documentation

All transit damage and shortage claims must be supported by the following:

  • Delivery receipt noting the damage or shortage

  • Photographic documentation of damaged outer cartons and affected product

  • Packing list discrepancy report if applicable

How Transit Claims Are Handled

Transit damage claims are handled through the freight carrier's claims process. We will assist with documentation where we can, but liability for damage occurring after handover to the carrier rests with the carrier, not SOHAPI.

Buyers Using Our Recommended Freight Forwarders

For buyers using our recommended freight forwarders, we can facilitate the claims process directly — reducing the administrative burden on your team.

Submission Deadline

7 Days

From delivery date. Claims submitted after this window may not be eligible for processing.

Photo Evidence

Document outer carton damage and affected product at the time of receipt. Photos taken after unpacking are still valid but capture both if possible.

Inspect on Arrival — Don't Wait

The 7-day window starts from the delivery date, not the date damage is discovered. Inspect all cartons immediately upon receipt and note any discrepancies on the delivery receipt before the carrier departs.

Limitations

This warranty is the exclusive remedy for product defects. SOHAPI's liability under this warranty is limited to the value of the defective units in the original order.

We are not liable for:

Consequential or Indirect Losses

Lost sales, downstream customer claims, and recall costs arising from product defects are excluded from coverage.

Regulatory Non-Compliance

Losses arising from regulatory non-compliance in the buyer's target market where the buyer has not provided accurate regulatory requirements at the time of order.

Late Claims

Claims submitted outside the stated timeframes are not eligible for warranty consideration under any circumstances.
